We must give our customers the right information in the right way at the right time, whether that’s an email, a text, a telephone call or letter so that reduce the number of times they need to call us to chase us up.

 To save money on postage costs, if you need to send correspondence it should be sent by e-mail whenever possible. If we have no choice but to post an item we must do so in the most cost effective way.

 From Monday 11 July 2016, all items posted using the council's despatch service will be sent 2nd class as standard and staff will no longer be able to request items are posted 1st class. 

All staff should be aware of the following guidelines regarding post. If guidelines are not followed, mail may not be collected.

 

External post

  • correspondence should be sent by e-mail whenever possible 
  • regular sized envelopes (C5) should be used where possible, to reduce postal charges 
  • all envelopes should be marked with the relevant speed code, you can download a guide below. Do not write cost codes on envelopes 
  • from 4 July 2016, all items posted using the council's despatch service will be sent 2nd class as standard. If you need an item guaranteed to be delivered the next day a 'next day/special delivery' service is available and can be used in exceptional circumstances 
  • any databases should be up-to-date, to reduce the chance of mail being returned and incurring an additional surcharge 
  • any business reply service licences used should be regularly reviewed

Goods received

Goods for staff in the civic offices are received at core 2 security, lower ground floor, who sign for deliveries 'unexamined'.

If you include your /the recipient's name, department and location, the porters will bring up the goods to you for your signature. Please note that address details must be accurate - if inaccurately addressed, deliveries will be returned to the supplier.

Goods to be returned

If you have an item which has to be returned to the supplier please make sure it is taken to core 2 security, who will keep it in the secure cage until the carrier arrives to collect it.

Please do not hold onto items in the department after you have contacted the carrier otherwise they will make wasted journeys and security will not know which items are to be returned. 

Hiring of van and driver

The Despatch Service can transport equipment and items to other sites, for council-related work. Contact facilites management for advice and availability – the charge is £40 per hour for a van and a driver, and £54 per hour for a van with two people.
