The Service

The Children and Families Services supports and protects Portsmouth's most vulnerable children and young people enabling them to lead safer, healthier and more fulfilling lives.  It also acts as the corporate parent for the city's Looked After The Team provides longer-term, child centred social work support to the majority of Portsmouth's looked after children from birth to 18 years. The primary aim is to achieve the best possible outcomes for our children through permanent care arrangements. This can be through supporting parents to care for their children at home whilst sharing parental responsibility; Placements with friends and family; Adoption; Long Term Fostering or Special Guardianship arrangements. Ofsted graded our Looked after Children Service as good in our 2014 Inspection.Children.

The apprentice post is situated in a satellite office (north of the city of Portsmouth). This apprentice post will be part of a Business Support team supporting the North Locality team of Social Care practitioners whom provide intervention with children and families in need (including those in need of protection) and court proceedings.

The role                  

  1. Scanning correspondence onto ESCR (electronic filing system)
  2. Data entry on CCM (In-house case holding Database).
  3. Administering the collection and presentation of service performance information
  4. Dealing with incoming telephone and email enquiries.
  5. Sorting/signposting/actioning incoming and outgoing post
  6. Booking appointments and arranging meetings
  7. Accurately maintaining files and documentation
  8. Printing of reports for meetings
  9. Collating relevant statutory statistical information

10. Carrying out all necessary word processing, spreadsheets, database and presentation duties

11. Updating spreadsheets and work stream trackers.

12. Dealing with all correspondence, including confidential information

13. To build up to minuting complex meetings that involve the intervention and safeguarding of children.

 

Who is the person?

 You need to have: 

  1. Good communication skills, both verbal and written
  2. Strong literacy & numeracy skills
  3. Good IT skills with a desire to learn new skills
  4. Empathy and patience with other people
  5. Good attention to detail and a high level of accuracy
  6. An awareness of the importance of confidentiality and the ability to handle sensitive data in an objective and discreet manner
  7. The ability to work well under pressure
  8. An organised attitude, with the ability to prioritise your workload
  9. A willingness to be flexible 
  10. An awareness of Data Protection and Confidentiality Issues, particularly GDPR requirements.
